I'm not sure if I understand what you mean by the icon does not appear in the tool box.

If you on in the 'Document details' window (where you carry out you coding) you should see the green 'coding complete' icon (a green disc with a checkmark in it) if the coding for any codeset has been marked as complete for that item.

You can also look in the 'Review statistics' tab (on the right side of the screen) to see the items that have been marked as complete. In the 'Completed coding' table it is broken down by codeset and coder (if you have a shareable review). If you click on the number of items in the' Count' column (once you expend the codeset in the Reviewer statistics tab) the program will list those items in the 'Documents' tab.

To run frequencies in the Frequency tab you just need to select the section of your tool to run the frequency on. The frequency is run against one level of hierarchy so if your coding tool has multiple levels then you need to select the correct section of the tool.
