Hi,

I want to assign references for coding between 3 reviewers. The references to assign are a combined list from previous coding that i've pulled together using combine function in search tab. I want to allocate those references to be screened. In order to do this, I created a code and assigned all items from my combined search to this code. I was then planning to assign items randomally using the 'hand button'. I selected 'all with this code' - selecting my code that i've assigned items to and distributed as normal. however, no groups are made. in other words, the groups don't appear anywhere. Do you know what i might be doing wrong?

Hello Farah,

I just tried an example following the description you gave and it appears to work for me. The only thing you didn't mention was that once you have the 'Allocate items to codes randomly'  window open (after clicking on the hand icon) and picking 'all with this code' you then need to specify where you want to place the groups of codes. This is where it say 'create codes below this code / set'. Is it possible you selected a different code / set than intended and the groups have been placed somewhere else?

Another possibility is that you restricted the allocation to items with the 'Exclude' flag and there wasn't any items with that flag in the group of items you were allocating?

If you do not think that any of the scenarios I have mentioned apply then you can let me know the exact circumstances (review name, code names, etc.) and I can have a more detailed look. You can email me directly if you prefer not to list them in the public forum.

Hi Jeff,

Thanks for this. I remembered to ensure that i selected the appropriate code/set for 'create codes below this code/set'. I also ensured the the 'Include' flag was selected. For some reason the problem persists - i'm sure i'm probably forgetting something?!

The review name: a meta-narrative of conceptualisations and meanings...

Search function: want to combine the following - coded with: sociology (23); coded with: anthropology (24); coded with: political science (25); coded with: health sciences -public health (26). Combined search - item 31 (104 hits).

Assign those references (n=104) to 3 groups under 'allocation groups' code set. - this is where i hit a problem and can't see the groups being created

Need to allocate these references (no double coding, just dividing up/single user) between marcello/lory and myself to screen using criteria: stage 2: seminal work (which is currently set to multiple user at the moment b/c we are just finishing up some piloting/double screening).

There have been a couple people 'practising' using ER4 on this review - so it's quite disorganised/ a big mess actually (e.g. code sets and allocated references etc that are meaningless!). Please ignore these, I will have to clean this up sometime this week and encourage the other users to delete their practice work.

Hi Jeff,

Just another quick point related to this -

We coded references using code set: Stage 1 General Coding (June 2011) in the first instance. One of coding categories was 'research tradition' - which was not mutually exclusive (multiple categories were selected for any given reference). Those coded as sociology; anthropology; political science; and health sciences: public health are of interest to us for further screening (using Stage 2: seminal Work code set). When i run a search to combine the references that were coded in these priority research areas - i get a total hit (as stated above of 104). However, when i go to allocate these references to a code (seminal allocation FJ - under 'allocation groups') and then 'list items with this code' - 159 documents appear - with references listed multiple times. I assume this is because an item could have been coded in Stage 1 to multiple research traditions. I want to get rid of these 'doubles' - such that only one unique reference is assigned to one reviewer. In other words, sociology OR anthropology OR polisci OR public health. I hope this made sense? I'm sorry if this was unclear.

Hello Farah,

I had a look at your review and what you were seeing was remnents of an problem we identified and corrected a couple of months back. This was related to an issue where an item coded by a codeset that was changed between single and multiple data entry could find itself as having been 'completed' by two people rather than one. As a result, depending on the query being used, if the query was totalling up items based on its 'complete status', the item could be displayed twice on the documents tab (because it was 'completed' twice).

This is what you were seeing when your search results showed 104 items but assigning a code to those items and listing the items with based on that code was showing 159 items.

I have gone through your data and made sure the problem items are now only completed by one person and any data that was previously  'completed' is now 'completed' by a single person. Numbers  in the 'Review statistics' tab now add up correctly and the items displayed in the documents tab are as expected.

We believe the fix we implemented in the past has corrected this issue. Unfortunately in your case there was some data that still was a victim of the original problem.
