Hi,

We have allocated references from our database search to reviewers to code using the code set: stage 1: general coding.., as normal. However, we will be doing personal searchers of literature and plan to input any new references we find manually into the database throughout the duration of the review (we are conducting a meta-narrative review). These manually inputted references need to be coded using the same code set (stage 1: general coding june 2011). After creating these references, can we simply code them using the code-set (without allocating the references) AND will the numbers that appear when we run frequencies or cross tabs reflect the total number of references in the ER4 database (manually inputted and from database search which have been allocated)? Do you foresee any problems with doing this?

Hello Farah,

You can code manually inputted references the same way you would code imported references.

I had a quick look at your review and I noticed that the 'stage 1: general coding june 2011' codeset is set for multiple data entry. Assuming that you plan on double coding the newly entered items you will probably want to allocate the items. The system will be expecting more than one person to be coding each item and it will be much easier to keep track of the coding if the item is allocated to 2 people.

If you do not intend to double code the new items but still wish to leave the codeset set for multiple data entry you must be sure to manually set the item as 'complete' when you are done coding it. If you are not allocating the items the person doing the coding will have to keep track of what they have coded, not coded and what they have 'completed'. If you are only going to be manually entering a few items then this method would work fine. If you plan on entering many items and have different people coding the different items you may want to have the system keep track of it all by allocating the items.

Whether an item has been allocated or not will not affect running reports such as cross-tabs or frequencies.
