Hi,

I am currently looking into adding/copying over references and their attached pdfs, as well as codes and data extracted from references from one of my reviews into another.

I have looked at the user manual and youtube videos and it doesn't have information on there about it, so I was wondering if all/ any of this is possible? If it is, I also wanted to know if there would be a clear way to differentiate the old and new information?

I know that I can export and then import the references from one review into another, but this loses the attached pdf. I also know you can click 'list' when looking at the sources tab to get the references exclusively for that source, but wondered if there would have to be another method if what I am asking is possible.

Any help on this would be appreciated.

Dear Josie,

Unfortunately there is no easy way to import or copy multiple PDFs from one review to another (or import them en masse from another program or file)...

The only thing you can currently do is import your references en masse to your new review, and then individually import the PDFs associated with each item.

We realise this is can be quite a laborious process, so we are looking at batch imports of PDFs in the forthcoming version of EPPI Reviewer; however, this is unlikely to appear for a few months.

Sorry I canot be more helpful at this time.

Hi Josie,

How many references are you dealing with in regards the number of references coded? I've done this once before, but it can be convoluted process depending on the number of codes/references.

Hi Will,

It's roughly about 400 references. The codes are Title and Abstract Screening ones (so in include/exclude style codes).

Hello again Josie!

I think this is do-able given your description! Could you take a screenshot of the codesets you want to transfer over? It sounds like your codes may be mutually exclusive which makes things REALLY easy. Even if that is not the case, it still think this is doable though things are a bit more complicated.

Hello Josie (and Will),

If you export your references based on how they were screened in your original review, you can then import those references as new sources in your new review so the items are grouped based on the original coding. For example, if you listed all of the items that had a particular screening coded and exported them as an RIS file you could then import that file as a new source in the new review. When you list that new source you can then select those items and bulk apply the equivalent screening code in the new review. This is fairly straightforward if your screening codes have been applied exclusively. If there is overlap in your coding then it can get a bit more complicated. In that case you might need to run a crosstab to identify the overlap and then export the items based on the overlap.

If it is a more complicated coding structure, such as data extraction, then there really isn't an easy to duplicate the coding in a new review. I have written some scripts to copy review data between reviews (this happens when the example review is placed in a new account) but it is specific for a particular review and changing it for another review would require some customised work.

Good ideas Jeff!

 

I don't use scripts, but that is a great way to approach this problem.
 

I use macros to automate this process. You have to structure your codesets so that they are identical; but after that my macro goes line by line through the initial document set and records the physical locations of codes and copies the contents of the corresponding infobox. Then you can export the entire set of desired documents into the new review and run another macro to input all the recorded data into the new review.

 

This approach doesn't capture data that has been linked to attach PDFs, but it does get all the codes regardless of exclusivity and doesn't require a lot of work in terms of creating a crosstab. I also find that it doesn't require much if any, customization between reviews.
