Our review has three reviewers and we are double coding at the "review on full text" stage.

I created the work allocations based on the results for which I had uploaded the article. (Coded "in file" under the Retrieval codeset.)

As outstanding articles were retrieved and coded "in file" I thought they would be assigned to a work allocation, but now I see the numbers of remaining results for each team member hasn't changed.

How can I ensure all items coded "in file" have been assigned? Do they need to be redone, or is there a way to catch the few that weren't originally assigned?

Just to confirm, the work allocations will be based upon the items in the review at the time the work was allocated i.e. newly-added items won't be reflected in the allocations.

You can identify items that have not been allocated by right-clicking on the Allocations 1 > Screen on full text code set, and then selecting the Display included items (frequencies) option. This will show how many items are in each child code, along with the number of items that have no code applied from the Screen on full text codeset. (Clicking on this number will take you to a list of those items.) You could then denote these items by assigning a new code to them.

If you use the search function within EPPI Reviewer you could search for items not in the Screen on full text codeset i.e. not allocated, then do a search for items that are In file (i.e. have been assigned the Retrieval > In file code). You can then do a Combine search to find which items are in the first AND second group - thus giving you a list of new items in file which haven't been allocated. Click on the Select button for this search and the software will bring up a list of these items.

I would then assign these to a new code to denote them. (From the Search tab, select the relevant search, right-click on the new code, and then Assign items in selected searches to this code. Alternatively bring up the list of relevant items in the Documents tab, right-click on the new code, and then Assign selected items to this code.) You can then easily allocate these items in the usual manner, using the new code.

Hope that makes sense, but do let us know if you require any further information or assistance. I've added some screenshots below to illustrate the process described, and also created a new codeset within your review to denote the relevant items (i.e. items not in Allocation > Screen on Full Text, and items not in Screen on Full Text but in File). You can right-click on these and select List items with this code to display them in the documents tab. As mentioned above, you can also use this code to allocate these items for screening.

Then do another search to find all items that have not been allocated (using the new code created earlier).

Combine these two searches (using the AND operator) to find items that are in file and have not been allocated -:

Assign these items to a new code, which you can use to allocate screening -:

(Note that there are other, equally valid, ways to do this within EPPI Reviewer. It is a very flexible program, and different people may find it easier to do things in different ways. I've used the search function here, and created two new codes within a new codeset, but you could the same thing in less steps using the inbuilt right-click functionality. However, the method I have described is fairly easy to follow, non-destructive (won't change or remove any of your existing coding or items), and ensures each step is repeatable. It will also help should you wish to construct a Prisma diagram to describe the steps you took in your systematic review. Furthermore, using new codes and recorded searches means that you can return to groups of items later on, or use the new coding to facilitiate working with your items.)
