Staff phone calls are paid for by their projects. If staff are likely to make expensive calls (long calls, international calls or calls to mobiles) steps should be taken to minimise costs (for example using prepaid phone cards that can be purchased from newsagents).

Staff should not use telephones for personal calls except for short calls, for example to say you’ll be late home.

There are procedures for setting up phone numbers for new staff and cancelling them for staff leaving the unit, as well as managing monthly bills, available via the Unit Administrative Officer.

Lists of calls and costs from each phone are provided by IoE and checked periodically by UMC.

Staff are encouraged to take care if making long calls, international calls or calls to mobiles as these can be very expensive.

When away from the office for more than 3 working days at a time, staff should:- either change the answer phone message to say when you will return and provide an alternative number in case the phone call is urgent;
- or have the phone diverted to the Unit Administrator.

Storage of staff telephone numbers is governed by the Data Protection Act.

Staff are expected to provide the Unit Administrative Officer with home contact details in case of emergency.

Staff home phone numbers should not be given out to anyone (including other members of staff) unless the member of staff has made it clear that this is acceptable.

If a member of staff is working at home then they are responsible for ensuring their phone number is available for colleagues to contact them on work matters. NB staff telephone numbers should not be given out to third parties unless specifically requested by the member of staff. Third parties can be given email addresses or Unit Administrative staff can contact the member of staff to let them know that someone is trying to contact them.
