ARCHIVED RESEARCH DATA Data from completed research projects can be stored in SSRU as long as this conforms to the Data Protection Act and the terms of consent given by research participants. A member of staff can only access data within the archive if they have signed the Data Protection Form AND if the Project Director and staff member has signed the Access to Archives Form. The Unit has dedicated secure storage facilities of catalogued paper records (such as questionnaires) collected by previous research projects. Data should only be removed from the Archive for the purposes of photocopying (subject to the rules on copying). The Unit Management Committee AND the Project Director must approve any exception to these rules. |

ARCHIVED RESEARCH DATA At the end of a project there may be data which needs storing, but which is unlikely to be used in the next 12 months. This data should be archived. Staff who want to deposit paper records in the Unit’s archive, should contact a member of UMC. Staff who want to access data contained in archived paper records must have signed the Data Protection Form and must obtain written permission from the Project Director concerned, through the use of the Access to Archive Form. The Unit Administrative Officer holds the key for the archive. |
DATA PROTECTION AND FREEDOM OF INFORMATION ACTS Information and advice regarding Data Protection and the Freedom of Information Act is available via the IoE Website Key issues are that data must be obtained and processed fairly and lawfully. It can only be held and used for the purposes specified. Requests for information about data held in the Unit must be processed within a strict time frame. |

DATA PROTECTION AND FREEDOM OF INFORMATION ACTS The Unit Administrative Officer is also the Unit’s Data Protection Officer. Any issues relating to data protection should be taken to the Data Protection Officer in the first instance. All staff will sign the Institute's Data Protection Form as part of their induction (available within the induction procedures linked here). See IoE Policy for more information. |

DATA SECURITY To protect valuable research and other work information from loss due to technical problems, fire, theft, and other disasters, the Unit will ensure that up-to-date copies of important information are maintained outside of the Unit buildings. |

DATA SECURITY All data on the shared-drives should be considered confidential to SSRU and shouldn't be shared externally without the project director's / authors' permission. In particular any folders / files relating to funding applications are confidential. If you think it may be appropriate to hold any data with which you work outside of the building, discuss this with a member of the Unit Management Committee or Project Director as appropriate. All staff must take responsibility for the information that they hold. |
