All publications must be entered onto the IoE PRECIS Database and conform to the Accessibility Guidelines (see below).

There is now a standard SSRU report cover. The template and an example are available here. You will have to save the template to your computer before working on it. Equivalent EPPI-Centre report covers are available from the Unit Publications Officer.

Standard PowerPoint templates are also available for SSRU and the EPPI-Centre. You will have to save these to your computer before working on your presentation. IoE branding guidelines require us to use these versions for all presentations including for teaching resources.

Copies of all publications must be entered on the IoE's PRECIS database and two copies given to the Unit Administrative Officer.

All SSRU reports should have a standard cover (see Unit Policy).

Staff should provide 1 copy of all their publications to the Unit Administrative Officer in the format outlined below: 

For books, copies should be provided of the front page, contents page and back page. [In addition, the Unit buys one copy of all books authored by, or edited by, SSRU staff].

For journal articles, one full copy of the article should be provided, along with copies of the front page, contents page and back page of the journal. 

For book chapters, one full copies of the chapter should be provided, along with copies of the front page, contents page, and back page of the book.

For electronic media, the full URL should be provided, along with a full print out of the web page(s).

For SSRU reports, 1 full copy of the report should be provided.

AUTHORSHIP GUIDELINES

The following are guidelines for helping SSRU staff to decide who should be authors on SSRU publications. This is not written as a policy, that covers every eventuality, but guidance that it is hoped will be helpful in negotiating this sometimes difficult problem.

The International Committee of Medical Journal Editors has produced some Uniform Requirements for Manuscripts Submitted to Biomedical Journals which cover authorship and contributorship.

They say that “An ‘author’ is generally considered to be someone who has made substantive intellectual contributions to a published study” and that:

Authorship credit should be based on 1) substantial contributions to conception and design, acquisition of data, or analysis and interpretation of data; 2) drafting the article or revising it critically for important intellectual content; and 3) final approval of the version to be published. Authors should meet conditions 1, 2, and 3.

For people who were involved in a study, but do not meet the requirements for authorship, they recommend the use of contributorship. They say:

Groups of persons who have contributed materially to the paper but whose contributions do not justify authorship may be listed under such headings as “clinical investigators” or “participating investigators,” and their function or contribution should be described—for example, “served as scientific advisors,” “critically reviewed the study proposal,” “collected data,” or “provided and cared for study patients.” Because readers may infer their endorsement of the data and conclusions, these persons must give written permission to be acknowledged.

While there is no perfect procedure to follow to decide who should be an author on a publication arising from SSRU research, the above principles are a good starting point. As a useful rule of thumb, it might be useful to think of authors as being people who are able to stand up and defend the work (not necessarily the whole work, but their part of it).

In addition to the above, there is the question of the order in which authors should appear. According to the Harvard website:

Examples of authorship policies include descending order of contribution, placing the person who took the lead in writing the manuscript or doing the research first and the most experienced contributor last, and alphabetical or random order. While the significance of a particular order may be understood in a given setting, order of authorship has no generally agreed upon meaning.

While the order of authorship might have “no generally agreed upon meaning”, people often look at first- or sole-authored publications as being more useful on a researcher’s CV than those where their name appears further down the list. With this in mind, research teams should generally aim to allocate first authorship to the person who made the most substantial contribution to the work in question. This is not always easy to judge, however, since the most substantial contribution may not necessarily equate to spending the most time on the work. At the least, however, the first author should have led the writing of the publication with appropriate input from other members of the research team. The second, and subsequent, positions on the authorship list should be allocated in the same way; i.e. according to their level of input into the publication and research project. Sometimes the final position is allocated to the project director, even if their degree of involvement might have indicated a ‘higher’ position on the authorship list.

The final point to consider when deciding authorship for publications is the importance of enabling people to develop their research careers. Since publications are so important in this regard, project directors should, where possible, ensure that junior members of their teams have the opportunity to take the lead in writing in order to develop both their writing skills and research profile.

All materials produced in connection with work led by, or substantially involving SSRU in a wider collaboration, that are to be circulated in the public realm, such as questionnaires, reports, leaflets, letters and booklets should:

  • indicate the institutional origin as: Social Science Research Unit, Institute of Education, University of London.
  • feature this affiliation together with the Unit logo and the IOE logo. Support for including logos is available from the Publications & Administrative Officer. Other stream or project-specific logos such as the EPPI-Centre logo may also be featured as specified in project- or stream-specific guidelines. These guidelines should however be consistent with this overall policy.

Materials produced by collaborating organisations should:

  • indicate the contribution of SSRU citing its affiliation as: Social Science Research Unit, Institute of Education, University of London.
  • also feature the Unit and IOE logos. Other stream- or project-specific logos may also be featured where possible, in accordance with project- or stream-specific guidance as discussed above.

Where there is doubt as to whether specific materials are covered by this policy the matter should be referred to UMC.

Where deviations from this policy seem likely to occur these should be raised with a member of UMC as soon as possible so that UMC may determine what course of action is required on a case-by-case basis.

BRANDING

Staff producing final reports or any other products (including electronic media) must follow Unit policy and any contractual requirements of project funders.

All academic publications and presentations by Unit staff should fully acknowledge funding sources (including any funds from the Unit or the Institute of Education) and fully refer to any assistance received from colleagues within or outside the Unit.  It should also be clear that the author is a member of staff at SSRU, the Institute of Education, University of London. It is important for both the Unit and for individual staff that all work should be of a high quality and well presented.

Staff should always ask for the help and advice of their Project Director, Line Manager, or other colleagues concerning writing and presentation. The Unit's style guide is available here.

It is important that all the work of the Unit properly represents the Unit and the Institute of Education and complies with the Institute’s policies on representation. All forms of publicity or representation including leaflets, logos, and letterheads, need to be checked by the Unit Publications Officer before reproduction or distribution. 

SSRU events and publications can be publicised on the SSRU website and, if they relate to childhood issues, on the international childhood email network. Please contact the Unit Publications Officer in the first instance or the Unit Administrative Officer about the childhood network.

This Week can also be used to promote the Unit’s work (employment / seminars / achievements / conferences/lectures), the Unit administrators will coordinate the promotion of the Unit’s work, so please contact them if there is anything you wish to promote.

Funds from these sales usually go to the Unit (rather than the project).

The cost of producing a copy in a print run of no more than 10, using IoE Reprographics or an external printer as appropriate, + £4 labour, + £2 postage and packing (within the UK).
