There is a first aid box in the hall of 18 Woburn Square on the ground floor and in the basement kitchen of 10 Woburn Square. The First Aiders for SSRU and around the Institute are listed by the first aid boxes in both houses.

Further medical help can be accessed via the A&E Department at University College Hospital.

In an emergency staff should call 5555 and the IoE desk will contact emergency services. If in any doubt staff must not hesitate to call 999 directly.

All accidents that take place at work or while on Unit business should be recorded in the Accident Book in 18 WS.

The Unit follows IoE policy regarding health and safety issues.

CAUSES FOR CONCERN

If a staff member raises an issue of concern, they should fill out the Cause for Concern form.

Hard copies available in the lobby of 18WS.

Instructions for dealing with these forms are available via the Unit Administrative Officer.

If staff have any concerns about any health and safety issues (including building maintenance) they should complete the Cause for Concern form, available from the lobby of 18WS, by the first aid box.

The completed form should be handed to the Unit Administrative Officer who will ensure it is passed on to the appropriate IoE department.

CLEANING

The IoE aims to provide a clean environment in which staff can work.

Cleaners are in the Unit late every other weekday evening or early morning, and rooms are cleaned on a regular basis.

Initial Health Care will come and collect the sanitary bins once a month (usually the first week of the month).

Information about ordering washing up liquid, soap, toilet paper etc and dealing with sanitary bins is available via the Unit Administrative Officer.

Standard office cleaning includes emptying bins and vacuuming rooms – staff are asked to keep their own desks and PCs clean.

If you have a problem with any aspect of cleaning or bins not being emptied, please inform the Unit Administrative Officer.

All staff should know the evacuation procedure in case of fire and must follow this procedure during a drill or a real fire.

We have a list of fire marshals at the entrance of both 10 and 18 Woburn square. All staff should be aware of the risk of fire and appropriate responses to fire.

The Unit's evacuation procedure and a list of first aiders and fire marshals are detailed in the Unit's Health and Safety Policy. 

FIRE

Please read the notices on evacuation of the building. In case of fire or other emergency, ring 5555 or break the glass in the nearest call point.

Each Friday morning the fire alarms are tested and there is usually a fire drill once a term.

Fire extinguishers are on every floor. Be sure only to use the smaller CO2 extinguishers on computer or other electrical fires. The routes of escape from fire in both 10 and 18 Woburn Square are through the front door on the ground floor and, in an emergency, through the front door in the basement.

Staff should be aware of who is working with them on their floor so that they can ensure that their colleagues are able to escape. The meeting place after a fire or a fire drill is on the green, between the Institute's main building and the end of Woburn Square, known as the Christchurch site.

If your exit route is blocked, move to a window on the lowest floor possible and preferably at the front of the building. Open the window and shout for help.

Administrative procedures re window shutters and door security are available via the Unit Administrative Officer.

Access to both 10 and 18 Woburn Square is via individual ID/Access cards issued by the Institute.  ID/Access cards enable access to all IoE buildings during working hours. Access is restricted, however, in certain cases.  Details on restrictions on access and issues related to safety and security are set out in the Institute’s Safety and Security Good Practice Guide.

If staff require access to 18 or 10 Woburn Square outside working hours, they must let the Institute main desk know that they are in the Unit by ringing Reception (ext 6136) on entering the Unit and again when leaving. It is important to do this for the security of yourself and others.

Please ensure that office windows and doors are securely locked when you leave the building.

Please ensure that front doors are always closed and ask all visitors to report to the Unit Administrators in 10 and 18 Woburn Square.  If the Unit Administrators are absent, please establish who the visitor is and whom they have come to meet. Please note that we have experienced several thefts by people managing to enter the Unit's buildings through open doors or by posing as delivery or courier staff.

The last person to leave either building should ensure that the building is secure and that lights are turned off.

Please keep individual rooms locked when not in use.
