Hi everyone!

I am new to Eppi reviewer and I am currently part of a team of people (other reviewers) who are screening lots of records. Basically, there are up to 4 of us who are currently working on the same review.

What I have been unable to understand so far is how to keep track of the records I have screened, and, other details such as how many of them I have selected. This would be quite an important information indeed. Is there any way to check for this? I have tried to watch the YouTube videos and I also skipped through the manual but I have not found anything related to this.

Dear Maria,
The best way to keep track of who did what is to use "coding assignments", when done correctly, this allows you to know how many items have been assigned to each reviewer, how many of them have been coded and how many have not. It also gives direct access to the "remaining" pools: that's the list of items that belong to a given assignment and have not been coded yet.

The details depend on whether you are running a double/multiple screening exercise (where at least some items are blindly screened by more than one person) or not, so I will not try to cover all details (see the "Allocating references for coding" chapter in the manual, from page 46 on) but will only sketch the procedure below:

1) Create an "administrative" code-set, configured for single user data entry.
2) Make sure the screening code-set is configured properly (this should not be the same code-set as the one created in 1!), it should be set for "multiple user data entry" only if (and while) you are running a double/multiple blind screening process. If each item is to be evaluated by one person only, the screening code-set should be set for "single user data entry".
3) Create some codes in the administrative set and assign them to the to-be-screened items. This can be done via the random-allocation feature or manually. In the end you will have the to-be-screened items assigned to different "administrative" codes, details will vary depending on your specific needs.
4) In the "collaborate" tab, create the corresponding number of coding allocation, using the codes created above to assign different groups of items to different reviewers.

It's done: the "coding assignment" table in the collaborate tab will show the detailed up-to-date figures for all reviewers. The similar table on the "my info" tab will only show coding assignments that belong to the logged-on user.

Also note: if you want to force a double-blind coding exercise, you can use the coding-only interface and "Role" (page 52). You can give the coding only role to any reviewer via the "Account manager" (tab above, in this website, not in EPPI-Reviewer), people with this role will be forced to use the coding only interface. They will have access only to the items that have been allocated to them and will not be able to find out what other people have coded.

Finally: you can also get useful figures in two other ways. To glance at how the screening is proceeding (assuming the screening code-set is in "single user" mode), you can use the frequencies and crosstabs tabs in the main screen.
To see how many items have been coded, by whom (with limitations, will not go into the details), and on what code-set, you can also look at the "review statistics" tab in the lower right corner.

I have to confess though I am a bit confused. To start with, I am not even sure whether I can create an administrative code-set for single user data entry.

Then, even if I could (if I were allowed as, after all, I joined a review set up by someone else), it is not clear how I should proceed...

Hello Maria,

If you are working on a project that is being administered by your project leader you might want to check with them before adding new codes or codesets to the review. As for how to create and construct codesets, you can find full details in the user manual (that you can find on the 'EPPI-Reviewer 4 gateway' http://eppi.ioe.ac.uk/cms/er4) and in our instructional videos that you can find on our YouTube channel (http://www.youtube.com/user/eppireviewer4). 

The project you are on is trialling a new function called 'Priority screening'. As this is still in a beta stage you will not find full details on how to use this in the user manual or instructional videos. You should speak with your project leader (who we have been in contact with regarding 'Priority screening') about how to use this functionality.

 Thanks for your reply Jeff but does this mean that as of now it is not possible to keep track of who did what? That is, there is no way for me to control a very basic information such as the number of screenings done per day? Is the priority screening function you mentioned the one that would enable reviewers to track their own work?

Hello Maria,

You can see what items you have screened in the 'Review statistics' tab but it will not be a break down of your daily activities. It will just tell you the number of items that you have screened.

Normally you would keep track of your coding activities through the use of work/coding assignments. When you allocate items to individuals the system will keep track of everyones activities and you can monitor everyones progress in the 'Collaborate' tab. 

What is special about your project is that it is trialling a new system called 'Priority screening' that makes use of text mining to prioritise the items that you are screening. This is still in the 'beta' stage so many of the monitoring functions that you are looking for do not yet exist.
