BICYCLES

Expenses can be claimed when on IoE business just as for car mileage or train travel.

IoE also has showers for cyclists in the main building.

The Unit supports those who wish to travel by bicycle as long as this does not causing inconvenience to other staff or create health or safety concerns.

Bicycles are not allowed inside any buildings except rooms not used by outside visitors where there is the full agreement of all other staff who work in that room.

There is facility to lock bicycles in the lock-up of No 18. Please ask the Unit Administrator for a key.

Unit Administrators are asked to ensure that bicycles are not left in the hallways or entrances of the SSRU buildings where they may block fire exits and be hazardous to staff and visitors.

Bicycles can be left in the bicycle parking area for SSRU staff at the back of the main IoE building or in the bicycle parking space outside the School of Oriental and African Studies (SOAS) at the North East corner of Russell Square. Alternatively there is a locked space under the front steps of 18 WS (key held by the Unit Administrative Officer).

PARKING

Car parking in Woburn Square is controlled by Senate House. You can apply for a parking permit (a fee of £30 has to be paid which is refundable when the permit is returned) though there may be a waiting list for these. Space is available only on a first-come-first-served basis. The car park is usually full during term time, and clamps are used for unauthorised parking. Alternatively it is possible to buy an annual parking space at the rear of the Woburn Square buildings but these cost between £500 and £800 per year, depending on salary.

Visitor parking:

The Unit Administrative Officer can arrange for one-off day parking for visitors. Please provide the Unit Administrative Officer with the car registration, date, and times of visit preferably at least 5 days prior to the day the parking is required. The Senate House car park attendant will reserve the place with a note showing the registration number.

INTERNATIONAL TRAVEL POLICY

The procedure for staff conducting international travel is laid out in the Institute policy which can be found on the Intranet page. Please note that you will need your UCL login details in order to access the International Travel Risk Assessment form.

The specific procedures for staff are as follows:

1.         Complete International Travel Risk Assessment Checklist (access via Intranet Travel page), following the guidance as necessary. Plus additions to the end of the form of itinerary of dates, location and contact details.

2.         Complete full risk assessment, only if required. This means the Institute's full risk assessment procedures – not necessary for low risk routine travel.

3.         Get the form authorised and signed by your Head of Department or nominee. This means any necessary approval by line managers + approval of risk checklist by Head of Department.

4.         When completed and signed, the form must be sent seven days in advance of travel to Serena Ezra: s.ezra@ucl.ac.uk, UCL Finance, (or insurance@ucl.ac.uk in case of staff absence) so that an insurance cover note can be issued.

5.        Once you have submitted the form, you will be sent a Certificate of Insurance relating specifically to your trip.

6.         Please do also send an e-copy of your completed travel form to internationaloffice@ioe.ac.uk as it allows us to maintain an important overview of international engagement that we are not directly managing.

7.         The form indicates that travellers should register on the UCL Travel Guard website, the link for which is given on the form. This will allow you to access up to date country reports and further generic information. When registering, you will be asked for your email address and the policy number. The policy number is: 0015865159

8.         Lodge an itinerary, contact information and the risk assessment with your department office. The addition of itinerary of dates, location and contact details to the Annexe 1 Check List means that this form can act as both the basis of risk approval and the record to be kept in the departmental of faculty office. IoE has a Travel Policy available here (new Dec 2011).

This policy is not relevant to travel within the UK.

All unit staff should carry a copy of the Institute travel insurance policy when travelling outside the UK on Unit business.
