IoE website outlines a policy called Flexible Working The IoE has a general policy that telephones should not be allowed to ring unanswered. See the IoE website. |
Whilst staff are expected under normal circumstances to work in the Unit from 9-5, there is flexibility for starting later and leaving later (or starting earlier and leaving earlier). It is not Unit Policy to allow staff time off in lieu should they work outside normal office hours, unless in exceptional circumstances. Any requests for time off in lieu should be made in advance through line managers. As senior line manager in the Unit, all requests should be referred to the Unit Director (or in his absence, a member of UMC). Staff may request to work from home under the following conditions: they have the permission of their line manager and relevant project directors; they take responsibility for extra financial costs such as internet access from home; they are available to take phone calls; and, working at home is not to the detriment of their working relationship with the rest of their team. There is an answering machine in the Unit Admin Office where messages can be left - 020 7612 6397. Individual phones should be set to transfer to this number automatically if the phone is not answered after a number of rings. Alternatively staff can use the voice mail facilities on their telephone. The historical record contained in the Unit Diary is confidential and should not be accessed - see Staff procedure for more information. |
The Unit Administrative Officer will monitor use of the Unit Diary by staff and follow up any incomplete or inconsistent information. |
UNIT DIARY: Normal working hours are 9am to 5pm with an hour for lunch, but the Unit operates a flexible working policy where staff can normally arrive/leave up to an hour earlier or later and then leave a correspondingly hour earlier or later. This policy is subject to line manager agreement and the need to provide cover for certain work tasks. If this is not the case, then staff need to record: (i) days they are not working such as annual leave (A/L) (ii) If at work but not in SSRU, then where they are/what doing (e.g. working at home with permission of line manager and project director; fieldwork in Manchester; conference in Exeter, etc) Part time staff, need to either specify the days they are working or not working and the location if not SSRU. Guidance on filling out the Unit Diary is available next to the Unit Diary and here. The Unit Diary holds personal information about individuals' whereabouts and staff should only refer to the current day and future dates. The historical record contained in the Unit Diary is confidential and should not be accessed. If you wish to check or change a past record about yourself in the diary you should first get the permission of your line manager (for example confirming that you were actually off sick that day rather than on annual leave) and then contact the Unit Administrator to ask her to amend the unit record accordingly. Line managers may occasionally check records of people they line manage, but aside from this, you should not access the records of other members of staff. Staff must ensure the Unit Administrative Officer knows their home contact details (and where appropriate other team members know how they can be contacted). Staff who are out of the office should divert their phones to the Unit Administrative Officer or a colleague on their project. Instructions on how to divert phones are available from the IoE website. Messages left on the Unit’s answering machine for members of staff will either be left in staff pigeonholes or emailed through to staff (by the Unit Administrative Officer). If there is an emergency all effort will be made to contact the staff member directly. |
