A standardised format for citing publications

*Please note that SSRU staff must input their own publications into the IOE publications database.  These publications can be downloaded into endnote for citing in the format described below.  

General principles

Only include works already published or firmly accepted for publication (cite the latter as 'in press'); do not include works submitted for publication or still being prepared for submission.

Do not include television/radio presentations/interviews.

Do include book reviews, letters published in journals and published abstracts of conference papers or conference poster presentations (but Not unpublished abstracts of conference presentations).

Present publications for separate years in separate lists.

Where you have multiple publications in the same year put in order by: first, single author publications; second, alphabetically by authors' names; and third, (if necessary) alphabetically by first word in the title - thus 'Hood S, Alderson P (1999) The child…' comes before 'Hood S, Selai C (1999) The child…', which comes before 'Hood S, Selai C (1999) The young child…'

Authors

Use no punctuation between author initials.

Give all author surnames (not 'et al.') and any initials as they appear in the printed document.

Use bold for your name and for the names of any other authors who are also SSRU staff.

Books

Cite books thus: 'Other AN (2001) What a Wonderful World: Reflections on mirrors. London: Alice Books, 436 pages. ISBN: 0-9642836-3-6.' - i.e. title in italics with capitals for main words; capital to start subtitle; fullstop after title; place of publication (sometimes this will need a state or country, eg Tucson, AZ: Arizona State University Press); colon; name of publisher; comma; 'pages' followed by total number of pages; full stop; 'ISBN' followed by colon and the ISBN number; finally full stop.

Edited books: use '(ed.)' for one editor, '(eds)' for more than one after name(s) of authors, thus: 'Goodman YR (ed.) Fairies on Top of Trees. London: Quality Books, 134 pages. ISBN: 0-7765342-1' or 'Ferguson A, Beckham D (eds) Tales from the Touchline. London: Quality Books, 225 pages. ISBN: 0-9942939-2-9.'

Chapters

Cite chapters thus: 'Fellow MP (1997) Managing universities. In: Boss JP, Helper AN (eds) Bureaucracy Gone Mad. New York: Save Us Press, pages 16-38. ISBN: 0-9562636-6-6.' - i.e. title of chapter in lower case; title of book in italics and capitals; comma after publisher, then 'pages' followed by page numbers of chapters; full stop; 'ISBN' followed by colon and the ISBN number; finally full stop.

Journal articles

Cite journal articles thus: 'Researcher AI, Contractor FS, Server YT (2001) One hundred and one projects: lessons from the contract research world. Endless Social Policy Research 45: 101-111.' - i.e. title of paper in lower case; no capital to start subtitle; full stop after paper title; italics and capitals for journal title, which should be given in full; volume number in bold; no issue number; colon and space before page numbers; both start and finish page numbers in full followed by a full stop.

Where there's no volume number, give the unabbreviated month or season published (e.g. 'February' or 'Winter') or the precise date in full (e.g. '5 February') again in bold, followed by a colon and space.

If the article is an editorial, guest editorial, invited commentary, letter, book review or abstract, say so in brackets after the page numbers at the end: e.g. 'Researcher AI, Contractor DY, Server YT (2001) One hundred and one projects: lessons from the contract research world. Endless Social Policy Research 45: 101-111. (Invited commentary)'

Electronic media

Cite online documents thus: Author AA (2000) learning about the internet. Website News, retrieved January 17 2001 from http://jbr.org/articles.html.

If you cite a paper which you read on the internet, but the details are the same as the paper version, just insert '[Electronic Version]' between the title and the periodical name, or after the title if the citation is a book/report.

Cite CD-ROMs thus: Page LP (1996) Happiness. Diary Index on CD-ROM Version 1.1. Chapman and Hall.

Reports

SSRU Reports should be cited thus: 'Stewart R, Ellison G, Wiggins M, Thomas J, Oliver S, Brunton G and the HIVSA Team. The HIVSA Project Report. London: Social Science Research Unit Report, Institute of Education, 248 pages. ISBN: 0-9542036-2-3. http://hivsa.ioe.ac.uk/hivsa/home.aspx?page=/pap/hivsa/hivsa_report.htm'.

EPPI-Centre Reports should be cited thus: 'Harden A, Shepherd J (2000) Promoting Workplace Health: Fact or fiction? London: EPPI-Centre Report, Social Science Research Unit, Institute of Education, 221 pages'.

(Both paper and electronic versions of Unit publications will include an overall note signalling how both SSRU and EPPI-Centre reports can be located.)

For other reports, indicate whether published by including an ISBN number (compare the books and published SSRU Report above with the unpublished EPPI-Centre Report) and, where appropriate, the URL where they can be found on the web (again, see the SSRU report above).
